Student conference travel

Purpose

The purpose of the University of Washington School of Nursing Student Conference Travel Award is to provide support to nursing students to pursue various educational opportunities to present their research at regional and national meetings, workshops, and conferences. The award may cover up to $350 for airfare, lodging, and registration. This travel award is to be considered supplemental to other sources of funding when at all possible and students are expected to seek other travel funds from their departments, advisers, or other external sources.

Eligibility

Any School of Nursing student in good academic standing as defined by the UW School of Nursing may apply for the award. Student applicants will be required to show:

  • Accurate and honest self-assessment of the priority status of your application, according to the Priority Status descriptions listed below.
  • Provide presentation confirmation from the meeting, workshop or conference.
  • Why you are interested in presenting at the conference and your presentation intent.
  • Acknowledge the media you will use for your presentation (poster, podium or panel)
  • Travel details: Conference name, location, and dates.
  • Any application not submitted on time or after the deadlines will not be considered.
  • Students are only entitled to receive a maximum of $350 within the same academic year.
  • Students must be registered in the quarter of the conference and upon their return.

Availability of funds

Travel funding is limited each year. Awardees may receive up to $350. The school tries to fund as many students as possible of those who apply on time and are based on availability of funds.

What does this award fund?

The travel award can only be used to fund airfare, lodging, and registration for regional or national travel to present original work at regional and national meeting, conferences, and workshops.

The award money can be used to fund mileage in lieu of airfare. This award cannot be used to cover rental car costs, food, or other similar  supplementary expenses. It cannot be used to fund travel to conduct research.

An announcement will be made at the beginning of each Fall and Winter quarter that this conference travel funding is available. The due dates to submit your application for the Travel Awards are:

How are the awards prioritized?

Recent budget cuts and an increase in the number of students who apply for student conference financial assistance have created a need to prioritize. Funding priority is as follows:

  • Priority Status 1. Students delivering an oral presentation (defined as a scheduled presentation before an audience, usually showcasing the results of a student’s research) at a professional organization’s regional or national conference.
  • Priority Status 2. Students delivering a poster presentation at a professional organization’s regional or national conference.
  • Priority Status 3. Students who are part of a panel discussion (defined as to provide an opportunity for a group to hear several people who are knowledgeable about a specific issue or topic present information and discuss personal views) at a professional organization’s regional or national conference.
  • Priority Status 4. Awards are made on a first come, first serve basis who applied.
  • Priority Status 5. Students not awarded travel funding the previous academic year.
  • Priority Status 6. Students who have external or other funding from other sources for their presentation.

For applications that fall between Priority 1 and Priority 5, awards will be given on an individual basis. Therefore, each awarded individual will receive funding of up to $350 towards their conference expenses dependent on funding availability.

For applications that fall in Priority 6, students who have external or other sources of funding support will be awarded a minimum of $100 per student towards their conference expenses dependent of funding availability.

Notification

The Student and Academic Services (SAS) Scholarships Manager and Associate Dean for Academic Affairs conduct application reviews. Final funding decisions are based on the prioritization guidelines detailed above. Funding decisions are made approximately two to three weeks after the application deadline. The SAS Scholarships Manager sends out award notifications.

Getting the money

Once awarded, students are encouraged to purchase their airfare and registration as soon as possible. Airfare reimbursement is contingent upon submission of receipts. Lodging receipts must be submitted upon return from the conference.

Final report

Each awardee applicant must submit a final one-page report (in full paragraphs) that serves as an in-depth overview of the conference, what was learned and benefit to you within two weeks upon return from the conference.

Those students who attend the WIN Conference must schedule a joint one-hour presentation and invite the school community (faculty, staff and students). Presentation must be given within three weeks upon return. Students are encourage to partner with the Office of Nursing Research to schedule their presentation.
