Academic Services Memorandum No. 38
New Courses, Courses with Major Revisions, and Core Courses:
To make any change, even a minor change, to a core/required course, the steps for major course revisions must be used, since an entire degree program might need to be adjusted to accommodate a change in credits or content for a core/required course. Major course revisions include changes that are substantive, or alter the essence of a course, such as:
- changes in the course description that are not limited to spelling, grammar, or punctuation;
- changes in the course objectives that are not limited to spelling, grammar, or punctuation;
- addition or deletion of course objective(s);
- addition of a distance learning element;
- increasing or decreasing course level (e.g. 400 to 500);
- three or more minor revisions; or
- other changes deemed to be major after discussion with Mary Rivard, Curriculum Program Coordinator, in Academic Services.
| Step 1: |
Sponsoring faculty member presents course materials to the appropriate home department for faculty review |

All new or revised courses must go through an initial review by the sponsoring faculty member’s home department before any other action may be taken.
To prepare the course for this initial review, the sponsoring faculty notifies Mary Rivard, in Academic Services, that the process of reviewing a particular course has begun. Then the sponsoring faculty member fills out a New Course or Course Change application and the SoN's Impact of New or Revised Nursing Courses form. These two forms are submitted to the department for the initial review.
Once the course application has been approved at the sponsor's departmental faculty meeting, and signed by the department chair, proceed to step 2.
To determine the specific date, time, and location of a particular departmental meeting, please contact that department's administrator.

Sponsoring faculty member sends course materials to Academic Services for editing |
|
After the course has been approved at the departmental level, the sponsoring faculty member submits the entire course application, via email, to Mary Rivard in Academic Services. The sponsoring faculty member consults with Mary regarding any questions about the application or process. Mary reviews all course material, and tracks the application's status through the entire process.
To allow time for editing and changes, the sponsoring faculty member must submit the complete application to Mary 3-4 weeks before proceeding to step 3.

Sponsoring faculty member presents the course to the appropriate Curriculum Committee for approval |
|
At least two weeks before the appropriate coordinating committee meeting, the sponsoring faculty must notify committee chair(s), and request to be added to agenda(s).
Sponsoring faculty member submits the completed Impact of New or Revised Nursing Courses Form with the appropriate New or Revised Course Application form (see step 1) and, if necessary, a completed Distance Learning Course Supplement form to the coordinating committee. The Course Application form and the Distance Learning Supplement are required by the University Curriculum Review Committee.
Sponsoring faculty member must attend the coordinating committee meeting in which the review is conducted, in order to answer questions and address the concerns of the committee.
Please note that the coordinating committees generally only meet from September or October through May or June. To find a specific coordinating committee meeting date, please check the list of SoN committee dates, times and locations.

| Step 4: |
Sponsoring faculty member sends BSN or MN course materials to Academic Services for review by UWT and UWB Department Heads |

After the course application is approved by the appropriate curriculum committee(s), the sponsoring faculty member emails the revised course materials to Mary Rivard in Academic Services.
New courses only: Mary will email the course change materials to the UW Tacoma and UW Bothell Nursing Directors for review. Mary facilitates any follow up discussion before the Director(s) approve the application. She will send the Director’s comments to Curriculum Board along with the submitted application (as part of step 7).
For UW Bothell and UW Tacoma courses, sponsoring faculty member obtains Program Director signature following program faculty approval.
This process usually takes 1 to 2 weeks. It takes place concurrently with step 5. This step is not required for doctoral courses.

The appropriate coordinating committee chair submits the approved course with ALL revisions for a faculty vote |
For UW Seattle courses, the coordinating committee chair contacts Don Berg, in the Dean's Office, to administer a faculty/graduate faculty vote, and sends Don the final version of the course application materials. Don Berg posts the materials on a Catalyst website, sets up the vote, tabulates the voting, and reports the results to the the committee chair and AS one week after voting ends.

| Step 6: |
Academic Services submits the course to the Curriculum Board |

Mary Rivard in Academic Services obtains any signatures that are still required on the application materials, makes copies, and submits all of the materials to the UW Curriculum Board for final approval.
For courses where the only change that has been approved according to Memorandum 38 is a change to objectives, no UW Course Change Application is required. In this case, the newly approved objectives will note, "Objectives approved according to Academic Services Memorandum 38, XX/XX/20XX. No UW Course Change Application required."
Mary receives notice of Board’s decisions and informs SoN, and she handles updates to the electronic application files and course objective files.

Determining the Timeline for Your Course Revision/Addition Process

Use the table below to determine a general timeline for each step of the review process for new and revised courses. The column on the left indicates the quarter in which the proposed course addition or revision becomes active. The other columns indicate the date by which a particular step or series of steps in the application process must be completed.

Existing Courses with Minor Revisions
Minor course revisions include changes that are cosmetic, or would not alter the essence of a course, such as:
- editing changes such as spelling, grammar, or punctuation in the course title;
- editing changes such as spelling, grammar, or punctuation in the course catalog description;
- a change in credit hours, such as adding or removing variable credit;
- editing changes such as spelling, grammar, or punctuation of course objectives
- cross listing the course with another department outside the School of Nursing, or;
- other changes deemed to be minor after discussion with Mary Rivard, Curriculum Program Coordinator, in Academic Services.
For UW Seattle, UW Bothell, and UW Tacoma, minor changes to nursing courses may go through an expedited review process. The expedited review consists of the following:

The appropriate coordinating committee chair may review and approve minor changes, with or without the input of the coordinating committee. If the coordinating committee chair does not feel that the change is minor, he or she may require the sponsoring faculty member to treat the changes as major and go through the process outlined above.

Sponsoring faculty member returns the approved course to Academic Services |

If the course revision is approved, the sponsoring faculty member sends the final copy of the course revision forms to Mary Rivard in Academic Services. The forms must be submitted to Academic Services no later than two weeks before the Curriculum Review deadline.
